Privacy Policy

VP Electrical Limited ("VP Electrical", "we", "us", or "our") respects your privacy and is committed to protecting personal information in accordance with the Privacy Act 2020 (the "Act") and its 13 Information Privacy Principles (IPPs), administered by the Office of the Privacy Commissioner (OPC).

This Privacy Policy explains what personal information we collect, why we collect it, how we use, store, and disclose it, and the rights you have in relation to that information. It applies to our customers, prospective customers, website visitors, subcontractors, suppliers, job applicants, and anyone else whose personal information we hold.

If you engage us for electrical or technology work, our Terms of Trade will also apply to that work and include specific authorisations relating to credit checks and credit reporting (see Section 6). Where there is any conflict between this Privacy Policy and our Terms of Trade regarding privacy matters, the Terms of Trade will apply to the extent of that conflict for the Works they cover.

1. Who we are

VP Electrical Limited is an electrical contracting business based in Pukekohe, New Zealand, providing residential and commercial electrical and technology services, including: Residential Electrical Services, Commercial Electrical Services, Electrical Maintenance, Smart Home Solutions, Home Automation, Security Systems, CCTV Systems, Access Control, Networking & Wi-Fi, Structured Cabling, Audio Visual Systems, Home Theatre Solutions, Lighting Installation, Electrical Upgrades, and Maintenance and Repairs. Unless otherwise stated, all services are provided within New Zealand.

2. Our Privacy Officer

Under section 201 of the Privacy Act 2020, we have appointed a Privacy Officer who is responsible for ensuring our compliance with the Act, including handling privacy enquiries, access and correction requests, and complaints.

3. Personal information we collect

The personal information we collect depends on your relationship with us, and may include:

  • Contact details — name, postal and site address, email address, and phone number

  • Property and job details — site address, access arrangements, details of the work requested, and photographs of the work site or completed work

  • Security and access information — for security, CCTV, or access control installations, this may include alarm codes, access card/fob details, or temporary access to system footage or logs solely for installation and servicing purposes (see Section 8)

  • Network and smart home credentials — for Wi-Fi, networking, smart home, or home automation jobs, this may include Wi-Fi passwords, router settings, or app/account logins needed to complete installation and configuration (see Section 8)

  • Payment and billing information — invoicing details, bank account or payment details, and payment history (we do not store full credit card numbers)

  • Quote and job history — records of quotes, jobs, correspondence, and service history held in our job management system

  • Enquiry and communication records — information you provide by phone, email, our website, or in person

  • Employment and subcontractor information — for job applicants, employees, and subcontractors: CVs, qualifications, licences, certifications (e.g. electrical registration), right-to-work information, and referee details

  • Website usage information — such as IP address and browsing activity, if you visit our website (see Section 11)

  • Marketing and advertising data — information gathered via advertising pixels, cookies, or custom audience uploads used for Facebook/Instagram and Google advertising (see Section 7)

We do not intentionally collect sensitive information (such as health information) unless it is directly relevant to a job (for example, site access requirements) or an employment relationship.

4. How we collect personal information

Wherever practicable, we collect personal information directly from you — for example, when you:

  • Contact us for a quote or to book a job (by phone, email, website form, or in person)

  • Engage us to carry out electrical work

  • Apply for a job or subcontracting work with us

  • Correspond with us about an existing job or invoice

We may occasionally collect information from third parties, such as a property manager, builder, or other trade acting on your behalf, or from publicly available sources, where this is necessary for the job and you would reasonably expect this.

5. Why we collect and use personal information

We collect and use personal information for the following purposes:

  • To provide quotes, schedule, and carry out electrical work

  • To invoice for work completed and manage payments

  • To communicate with you about your job, including scheduling and follow-up

  • To meet our legal, tax (including GST), health and safety, and electrical industry regulatory obligations

  • To manage our relationship with subcontractors and suppliers

  • To assess job applications and manage employment or subcontractor relationships

  • To maintain our business records, accounts, and job history

  • With your consent, to send you information about our services (you may opt out at any time)

  • To assess creditworthiness before extending credit or payment terms, and to manage debt collection, where you engage us as a trade or commercial customer under our Terms of Trade

We only collect personal information that is necessary for these purposes.

6. Disclosure of personal information

We do not sell personal information. We may disclose personal information to:

  • Subcontractors or other trades engaged to carry out or assist with a job

  • Our accountant, bookkeeper, and professional advisers

  • Service providers that support our business operations, such as our job management, invoicing, and accounting software providers

  • Regulatory bodies (e.g. Electrical Workers Registration Board, WorkSafe, Inland Revenue) where required by law

  • Credit reporting agencies or other credit providers — for the purposes of credit checks, debt collection, or reporting a default, where you are a trade or commercial customer under our Terms of Trade

  • A third party if required or authorised by law, or to protect the safety of any person

Where we disclose personal information to a service provider, we take reasonable steps to ensure it is only used for the purpose we disclosed it for and is appropriately protected.

7. Marketing and social media advertising

We use online marketing platforms — including Meta (Facebook and Instagram) and Google Ads — to advertise our services and reach potential customers. This may involve:

  • Placing tracking pixels or tags on our website (e.g. the Meta Pixel and Google Ads/Analytics tags) that collect information about your visit, such as pages viewed and actions taken, so we can measure ad performance and show you relevant ads

  • Uploading contact details (such as email addresses or phone numbers) of existing customers to Meta or Google in hashed (encrypted) form, to create "custom audiences" for advertising or to find similar prospective customers ("lookalike audiences")

  • Using retargeting/remarketing ads to show our ads to people who have previously visited our website or interacted with our business

These platforms act as independent third parties and have their own privacy policies governing how they handle this information — see Meta's Privacy Policy at www.facebook.com/privacy/policy and Google's Privacy Policy at policies.google.com/privacy. You can manage your ad preferences directly with these platforms, and can opt out of interest-based advertising through your Facebook/Instagram or Google account settings.

If you would prefer we do not include your details in custom audience uploads, please contact our Privacy Officer and we will remove you.

Where we send marketing communications by email or text message, we will only do so with your consent (including inferred consent from an existing customer relationship), and every message will include a functional unsubscribe option, in accordance with the Unsolicited Electronic Messages Act 2007. You can unsubscribe at any time using the link provided, or by contacting us directly.

8. Security, CCTV, access control, and network credentials

Some of our services involve installing or servicing systems that themselves capture, store, or control access to information — including security systems, CCTV systems, access control systems, home automation, and Wi-Fi/networking. In relation to these services:

  • We do not access, view, retain, or store CCTV footage, security recordings, or access logs generated by a system we install or service, unless we are separately engaged in writing to provide monitoring, cloud storage, or ongoing management of that system

  • Any footage, recordings, or access data generated by a system we install remains under your control as the system owner/operator. You are responsible for complying with your own obligations under the Privacy Act 2020 in relation to that system — for example, if your CCTV captures images of staff, visitors, neighbours, or the public

  • Where a job requires temporary access to alarm codes, access credentials, Wi-Fi passwords, router settings, or smart home app/account logins, we use these solely for the purpose of installation, configuration, or the specific service call, and we do not retain them beyond what is reasonably necessary — unless you ask us to keep them on file to support future service calls, in which case we store them securely and only with your consent

If you would like more detail about how a specific security, CCTV, or networking job will handle your information, please ask us before the job begins.

9. Storage overseas (cross-border disclosure)

We use cloud-based software (such as job management, accounting, and email platforms) to run our business. Some of these providers store or process data on servers located outside New Zealand, including in Australia or the United States.

Before information is disclosed to an overseas provider, we take reasonable steps to ensure the provider is subject to privacy safeguards comparable to the Act (for example, because the provider is a well-established platform used widely by New Zealand businesses and contractually bound to protect the information), consistent with Information Privacy Principle 12.

10. Storage and security

We take reasonable steps to keep personal information secure against loss, unauthorised access, use, modification, or disclosure. This includes using reputable cloud software providers with their own security measures, restricting staff access to information on a need-to-know basis, and using secure passwords and access controls for our systems.

We keep personal information only for as long as it is needed for the purposes it was collected, or as required by law (for example, tax and accounting records must generally be kept for at least seven years under the Tax Administration Act 1994). We securely destroy or de-identify information we no longer need.

11. Our website and cookies

If you visit our website, we may automatically collect limited technical information such as your IP address, browser type, and pages visited, to help us understand website usage and improve our services. Our website may use cookies for this purpose. You can adjust your browser settings to limit or block cookies, though this may affect how the website functions.

12. Access and correction rights

Under Information Privacy Principles 6 and 7, you have the right to ask us:

  • To confirm whether we hold personal information about you, and to access that information

  • To correct personal information about you that is inaccurate, incomplete, misleading, or out of date

To make a request, please contact our Privacy Officer using the details in Section 2. We will respond as soon as reasonably practicable and, in any case, no later than 20 working days after receiving your request, as required by the Act. In some circumstances we may be entitled to withhold or charge for information, in which case we will explain why.

13. Privacy breaches

If we become aware of a privacy breach that has caused, or is likely to cause, serious harm, we will notify the affected individuals and the Office of the Privacy Commissioner as soon as practicable, in accordance with the Act.

We may update this Privacy Policy from time to time to reflect changes in our practices or the law. The current version will always be available on request and, where applicable, on our website. This policy was last updated on the date shown at the top of this document.
